Why Connect Salesforce to Your eDiscovery Collections Platform

Most people think of Salesforce as a sales tool, but for legal and compliance teams, it's a critical data source. Customer records, contracts, uploaded documents, and business files stored inside Salesforce can become central to litigation, investigations, and regulatory inquiries. When that happens, waiting on IT or manual exports isn't an option.

The Onna + Salesforce Connector connects directly to the Salesforce Lightning API, giving your team immediate, structured access to files hosted in your Salesforce account, without disrupting business operations or relying on ad hoc processes.

Key Capabilities

Salesforce Connector Capabilities

The Onna + Salesforce Connector is designed to bring your CRM's file content into a defensible collection workflow.

Key capabilities include:

Direct connection via the Salesforce Lightning API

Audit logs for all collection activity

Tag-based collection controls

Support for one-time sync, auto-sync, and auto-sync and archive modes

File metadata preservation alongside collected content

These capabilities allow organizations to perform targeted collections from Salesforce or maintain ongoing archives of CRM file content.

Data Collected

What Data Can Be Collected from Salesforce

The connector captures files and associated metadata from Salesforce Lightning Enterprise accounts including:

Files & Content

All files hosted within the connected Salesforce account

Files filtered by selected tags

Metadata

File name

File ID

Author

File creation date

File last modified date

File size

File extension

These collections give investigators a structured, metadata-rich view of the files stored in Salesforce so relevant content can be identified and produced efficiently.

Note: Onna does not currently collect Salesforce Chatter data or support collections from Salesforce sandbox environments.

Metadata Schema

Salesforce Metadata Collected

Along with file content, the connector captures key Salesforce metadata fields including:

File name and file ID

Author

File creation and last modified dates

File size & extension

This metadata allows teams to establish file provenance, identify authors, and surface the most relevant documents within a Salesforce collection.

How it works

How Salesforce Data Collection Works

Setting up a Salesforce collection in Onna is a straightforward process that requires no authorized connection credentials.

01.

Add Salesforce as a data source

Configure the collection

Enter a name for your sync, select your sync mode, and set your start date — or start and end date for one-time syncs.

03.

Authenticate the connection

Enter your Salesforce username and password and log in, then allow Onna access to your Salesforce account.

04.

Select tags

Choose the tags you want to include in your sync to scope the collection to the relevant file content.

05.

Start sync

Once configuration is complete, your Salesforce collection begins and the new source appears alphabetically in your list of connected sources.

Sync Modes

Salesforce Data Collection Options

The Onna + Salesforce Connector supports three sync modes to fit a range of collection needs.

One-Time Sync

A targeted collection with a defined start and end date, suited for litigation or investigations with a fixed scope.

Auto-Sync

Auto-Sync & Archive

Continuously collects new content while building an ongoing compliance archive of all Salesforce file activity.

Which version of Salesforce does Onna support?

Onna's integration is compatible with Salesforce Lightning Enterprise only. Non-enterprise versions such as Salesforce Essentials and Lightning Professional do not include API access, which is required for Onna to connect.

Does Onna support Salesforce sandbox environments?

Not at this time. Collections from Salesforce sandbox environments are not currently supported.

Can Onna collect Salesforce Chatter data?

No. Chatter data is not currently collected by the Salesforce connector. Onna collects files hosted within the Salesforce Lightning Enterprise account only.

How do I scope my collection to specific content?

During setup, you can select the tags you want to include in your sync. This allows you to target specific file content rather than collecting everything in the account.

What credentials do I need to set up the connector?

You will need a Salesforce Lightning Enterprise admin account username and password. No authorized connection credentials or API keys are required in advance.
