Microsoft SharePoint Connector for eDiscovery & Data Collection
Collect SharePoint files, documents, and metadata for eDiscovery, compliance, and investigations seamlessly and without IT ticketing. The Onna + Microsoft SharePoint Connector gives your legal and compliance team structured access to your organization's SharePoint sites, on a defensible, unified platform.
Why Connect Microsoft SharePoint to Your eDiscovery Collections Platform
SharePoint is where organizations store and collaborate on some of their most important business content, from policies and contracts to project files and departmental documents. When legal or compliance needs arise, that material has to be collected completely, accurately, and in a defensible way.
Without the right tools, collecting from SharePoint introduces real complexity:
Files and sub-sites are spread across multiple SharePoint sites
Content access is tied to individual user credentials and permissions
Native formatting and file structure need to be preserved alongside metadata
New sites and content are continuously being created
The Onna + SharePoint Connector connects directly with the SharePoint API to collect all content in its native format — pulling files, sub-site content, and associated metadata from across an entire SharePoint site in a single, structured collection.
Microsoft SharePoint Connector Capabilities
The Onna + Microsoft SharePoint Connector is built to handle site-wide content collection from SharePoint Online environments.
Key capabilities include:
Direct API connection using individual Microsoft credentials
Full site collection including sub-sites
File version tracking
Audit logs for all collection activity
Native format preservation
Support for one-time and auto-sync and archive modes
Option to sync newly created root sites going forward
These capabilities allow organizations to perform targeted SharePoint site collections or maintain ongoing archives of collaborative file content.
What Data Can Be Collected from Microsoft SharePoint
The connector captures files and metadata from across SharePoint Online sites including:
Files & Content
All files included on the connected site
Files from sub-sites within the connected site
All content in its native format
Metadata
File metadata associated with collected documents
Version history
These collections preserve the structure and context of SharePoint content so investigators can accurately reconstruct file activity and document history.
Note: SharePoint-specific metadata fields are not collected at this time. Collection scope and site access are determined by the permissions of the account used to connect.
Microsoft SharePoint Metadata Collected
The connector collects standard file metadata for all documents gathered from connected SharePoint sites, including fields such as file name, size, creation date, and last modified date. SharePoint-specific metadata fields are not currently collected.
Version history is preserved for all collected files, giving investigators a complete picture of how documents have changed over time.
How Microsoft SharePoint Data Collection Works
Setting up a SharePoint collection in Onna is a straightforward process that requires no admin credentials or pre-configured authorized connection.
Add SharePoint as a data source
Navigate to your workspace and add Microsoft SharePoint as a source.
Name and configure your source
Enter a name for your new source and click Configure.
Authenticate the connection
Enter your Microsoft username and password to sign in and connect your account.
Select Sites and configure the collection
Choose which SharePoint sites to include in your collection. If you'd like to capture root sites created after the sync begins, check the box next to "Sync any root site created in the future." Then select your sync mode and set your start date — or start and end date for one-time syncs.
Start sync
Once configuration is complete, your SharePoint collection begins and the new source appears alphabetically in your list of connected sources.

The Onna + Microsoft SharePoint Connector supports two sync modes to fit different collection needs.
